This is a Seasonal (March – September) full-time position.  Considerable flexibility is needed, with many evening and occasional weekend meetings especially in August and September (for which time of in lieu can be taken). There is also a need to remain in touch and occasionally attend meetings through the rest of the year.   



Although an office-based, employed position is preferred, there could be scope for some home-working and the filling the position on a contract basis by a self-employed individual would be considered.



General Duties



As directed by the Show Manager, and working closely with the Chairman of the Livestock Committee and relevant section heads, the Livestock/Equine Secretary will be required to undertake a range of administrative duties which will include –



Liaison with the Show Chairman and Section Heads to determine the classes/competitions that will be held during the Show and the requirements for Stewards.



Liaison with appropriate Breed Societies and Animal Health bodies for Livestock and poultry licenses.



The preparation and distribution of Schedules and Entry Forms, using the Showbiz database system (training on the system will be given as required).



Preparation of the Show Catalogues and other necessary documentation.



Liaison with the Show Manager and Office Administrator over selection of judges (during October –December) following by the issuing of invitations and the organisation of their administrative arrangements (April onwards).



The organisation of stalls/pens/stable requirements.



Ordering prize cards, rosettes, sashes, number cards etc as required, and, together with volunteers preparing judges’ boxes.



Deal with telephone calls from Exhibitors and others relating to the competitive entries and activities at the Show.



Assist with routine mailings related to the Livestock and Equine competitions, including the picking lists.



Organise the collection and preparation of all Cups and Trophies, and all administration relating to them.



Oversee and verify the results and awards from the Show competitions and assist the Accounts Department with the distribution of Prize Money.



Carrying out other reasonable tasks from time to time as directed by the Chief Executive.



Skills Required



Knowledge of livestock and equine procedures is essential. Good IT skills including the use of Microsoft Office applications, particularly the use of databases. Good organisational skills and attention to detail. Able to use initiative and work without supervision.



Good communicator.

Background - Newbury & District Agricultural Society (NADAS)

NADAS is an incorporated charity with charitable purposes relating to the promotion of agriculture, horticulture, forestry and rural crafts, and the education of the public in these matters.  Based at the Newbury Showground in a prime location at the junction of the A34 and M4, which it owns and operates, the Society delivers an extensive education programme in schools throughout Berkshire, North Hampshire and South Oxfordshire, runs an annual ploughing match, a ‘junior countryside day’ and local farming competitions to promote best practice in the industry.  However, its most significant event is the Royal County of Berkshire Show, one of the best Agricultural shows in the country, held annually on the third weekend of September. 

The Society employs a small team of staff which is led by the Chief Executive and includes a Show Manager, an Office Administrator, an Accounts Administrator and a Livestock/Equine Secretary.  This team supports the work of numerous volunteer committees.

The Livestock/Equine Secretary is responsible for organising all the livestock and equine classes at the Royal County of Berkshire Show, involving some 3000 animals.
